Minutes of the Annual General Meeting of the NZIP
Held at 4:45pm AH1 lecture Theatre, Massey University, Palmerston North
On Thursday, 10 July 2003

1) Minutes of the 2002 Annual General Meeting.

The minutes of the 2002 AGM were confirmed as a true and accurate record.

2) Matters arising from the minutes.

3) President’s Report

The President’s report was presented.
Bill Hayes asked how many School Prizes were awarded in the years 2001 and 2002. Tony Signal replied that approximately 50 prizes were awarded in 2001 and 70 in 2002.

That the President’s report be accepted.

4) Treasurer’s Report.

a) The financial statements and Auditor’s report were presented.
Bill Hayes asked what plans the Institute has to use some of the accumulated funds. David Parry replied that some ideas had been put forward, however the outgoing executive and council had failed in their plans to spend some of these funds.

That the Treasurer’s report be accepted.

b) David Housden presented the financial statement from the Education Section.

That the Education Section financial statement be accepted.

c) Membership Fees
Des Duthie asked for clarification of the ‘Corporate Membership’ category, which is for businesses rather than schools.
Peter Kinsler asked if the school prizes could be increased to $50 in value. The next executive was asked to consider this.
Bill Hayes commented that the school prizes are very worthwhile for members teaching. Another possibility that could be considered is that schools with more than one NZIP member could give a larger prize.

That the membership fees for 2003 – 2004 be unchanged.

d) That Graeme Beardsely be re-appointed audtor for the next financial year.

5) Education Section Report.

The Chairperson’s report was presented.

Greham Batchelor spoke about the Class Server system based at Riccarton High School. All teachers on this system would be able to share resources, however writing resources for the system should be properly paid for.
Des Duthie endorsed these comments, and added that the system should include quick indexing for people to find resources using the internet.
Paul Nistor commented that compilers and writers of resource material would need some training.
David Housden responded that there are many ex-examiners who would be able to run such training courses.

Denis Burchill asked about the reasons for the proposed change to having regional representatives on the Education Section’s committee.
David Housden responded that this would be a way to spread the workload of the committee, and also have better communication with section members.
Denis Burchill expressed reservations about the process of changing the manner of selecting members of the committee. He felt that the proposed change should be put to all NZIP members, and that the committee should remain within the overview of council.
David Parry responded that the committee maintains excellent contact with council, and the chair of the committee is a member of the council executive, and also the section is required to present annual and financial reports.

That the Chairperson’s report be accepted.

6) Election of Officers

The following nominations have been received for Officers of NZIP:
President Prof. Geoff Austin
Vice-President Mr. Denis Burchill
Treasurer No nominations received
Secretary Mr. Mark Conway

There being no other nominations, these persons were declared elected.
The new executive must appoint a Treasurer as a matter of urgency.

7) Election of the Committee of the Education Section

The following nominations have been received for the Committee:
Chairperson Mr David Housden (St. Bernard’s College)
Treasurer Mr Winton Clitheroe (Hutt Valley High School)
Secretary Mr Raymond Neal (St. Patrick’s College, Kilbirnie)
Members Brenda MacKechnie (Hutt Valley High School)
Dr Peter Gilberd, (RSNZ)
Regional Reps. Mr. Denis Burchill (Auckland), Mr Trevor Castle (Palmerston North), Mr Graham Batchelor (Canterbury), Dr Dai Redshaw (Otago).

Mr Des Duthie was nominated from the floor as Nelson Regional Representative (Nominated by Paul Nistor, seconded by Brenda MacKechnie).

There being no other nominations, these persons were declared elected.

8) Resolution to award NZIP prizes.

David Parry noted that council supports the general idea of introducing these prizes/awards. The details will need to be worked out by the new executive and council.
Des Duthie commented that clear criteria will be needed for each prize to make the task of awarding the prizes easy for the selection panel.
David Parry commented that it would be possible to have different selection committees for different prizes.
Peter Gilberd asked if consideration could be given to awarding a prizefor communicators or journalists. He also asked that ‘university’ be changed to ‘tertiary institution’ in the draft regulations.

That the NZIP introduce a set of awards to recognise excellence in physics research and teaching.

9) Reports from Branches

Tim Armstrong presented a verbal report from the Wellington branch. The major activity for the year was the organization of 10 talks in conjunction with the Royal Society.
Bob O’Driscoll commented that NZIP funds are available to support branch activites.

10) General Business

Peter Gilberd congratulated the outgoing executive on the revival of the NZIP newsletter. To keep this going requires members from all around the country to provide articles and news.
There was a short discussion of whether associate members of the NZIP should pay more to attend the conference. It was generally felt that they should be encouraged to attend and upgrade their membership, and not charged more.

Meeting closed 5:57 pm.
